Brief introduction into instrument booking with IGAMA

For any work in the X-Ray CoreLab registration at the department for radiation protection (LMC: C building (location), 2nd floor) is prerequisite. You also have to pass the online instructions  "Safety training HZB" and "X-ray instructions" (Röntgenunterweisung)!

The instruments of the X-Ray CoreLab are organized by the IGAMA calendar system. For booking an instrument a couple of points have to be considered. Therefore adjacent you'll find a short overview how to use IGAMA to reserve an instrument. Even if you are familiar with IGAMA it is appretiated if you read it before you start booking, in particular the points booking over night or several days.

To start a booking call the IGAMA calendar (https://www-intern.helmholtz-berlin.de//bin/igama?NJOB=KALENDER&kalid=11&sprache=en), then choose "show": The calendar will open with current month and year. Select the desired instrument and click on the "+" symbol at the desired (starting) day. You can either start with a new day or you add a booking to an existing one. Now a window is opend where you put in your data.

Booking an instrument hourly

Note: There are instruments that can only be booked on daily basis.

 

For hourly booking give date, time and sample description, than click "reserve".

 

 

Example:

 

You want to book an instrument at 20.06.2016 from 9:00-12:00 o'clock. Fill out the fields as follows:

  • Date: 20.6.2016 (already given). The second field stays empty.
  • time: 9 - 12 (zeros aren't necessary).
  • Sample description: Formula of the compound, powder/thin film/...
  • Comments: if indicated

Finally click "reserve". In IGAMA the booking request occurs at the appropriate position as a red box. As soon as the booking is confirmed by the lab responsible the colour changes to blue. Your booking is now complete.

 

 

Booking an instrument over night

For booking overnight please follow this procedure:

 

a) If you need the instrument until 8 a.m. of the second day than make one booking for the first day with "starting time - 23:59". For the second day a booking is not necessary since the instrument is available again at 8 a.m..

 

b) If you need the instrument beyond 8 a.m. of the second day than add a booking for the second day with "0:00 - ending time".

 

This procedure ensures properly working of the calendar and keeps it clear for further booking. Hence it is required that you follow this guideline.

 

 

Example for case b):

 

You want to book an instrument  from 20.06.2016 16:00 Uhr to 21.06.2016, 12:00 Uhr. Fill out the fields as follows:

 

Booking 1:

  • Date: 20.6.2016 (already given). The second field stays empty.
  • time: 17 - 23:59  (zeros aren't necessary)
  • Sample description: Formula of the compound, powder/thin film/...
  • Comments: if indicated

Click "reserve". 

 

Booking 2: In the calendar click on the "+" symbol of the next day, than fill in

  • Date: 21.6.2016 (already given). The second field stays empty.
  • time: 0 - 12 
  • Sample description as above

Click again "reserve". 

In case a) the second booking is obsolete.

 

In IGAMA the booking request occurs at the appropriate position as a red box. As soon as the booking is confirmed by the lab responsible the colour changes to blue. Your booking is now complete.

 

 

Booking an instrument several days

Note: Please be careful with this option and only use it for weekend bookings in order that the instrument is available during working days for all users!

 

For the first day make an entry "starting time - 23:59". Make a second booking for the adjacent days without any time. Continue as follows:

 

If you..

 

a) need the instrument only till 8 a.m. than no further booking is necessary. The instrument will be available for all users from 8 a.m..

 

b) need the instrument beyond 8 a.m., than make a third booking for the last day "0:00 - ending time"

 

This procedure ensures properly working of the calendar and keeps it clear for further booking. Hence it is required that you follow this guideline.

 

 

Example:

 

You want to book an instrument for the weekend from Friday, 24.06.2016 16:00 Uhr till Monday, 27.06.2016, 8:00 Uhr. Fill in the fields as follows:

 

Booking 1:

  • Date: 20.6.2016 (already given). The second field stays empty.
  • time: 16 - 23:59  (zeros aren't necessary)
  • Sample description: Formula of the compound, powder/thin film/...
  • Comments: if indicated

Click "reserve". 

 

Booking 2: In the calendar click on the "+" symbol of the next day, than fill out

  • Date: 25.6.2016 (already given) bis 26.06.2016. (has to be filled in)
  • time: leave empty.
  • Sample description as above

Click "reserve". 

Booking 3: Not necessary since the instrument will be available from 8 a.m.. 

 

In IGAMA the booking request occurs at the appropriate position as a red box. As soon as the booking is confirmed by the lab responsible the colour changes to blue. Your booking is now complete.
